Personal Data for Coaching Clients
Personal data is collected as part of the intake process for coaching clients and potential coaching clients. Personal data is also collected throughout the coaching relationship. This personal data is used by your coach to provide coaching services. This data is stored by your coach and is not stored by this website. If you want anyone else to have access to your personal data, you have to explicitly request and agree to that access.
For current coaching clients, we only collect and keep data that is relevant to the coaching services. Since this information can be quite different from person to person, it is not possible to list every kind of data we might collect. In general terms, we will ask for name, contact information, and ability to pay for services, and we will ask for health, wellness, fitness, lifestyle, and motivational information relevant to your coaching goals. If we ask for information that you are not comfortable sharing, then do not share that information with us. We will let you know of any consequences of not having that information so that you are always informed about your choices.
Scheduling Data
Acuity, our scheduling service collects appointment information, including your name, phone number, email address, date, time, and type of appointment. Since these appointments are fulfilled by telephone or voice over IP, we need this information to confirm the appointment and to meet with you.
Who we share your data with
If you use the contact form to send us a message, your message, name, and email address will be sent to our email server at Bluehost so that it can be delivered to our email account. Bluehost has its own privacy policies here: https://www.bluehost.com/terms/privacy-policy. Be aware that if you click on that link you will be taken to a different site, bluehost.com.
Scheduling data is shared with our scheduling service, Acuity. Acuity sends appointment information to your coach.
How long we retain your data
Depending on the nature of any messages you send to us, your message may be deleted or stored indefinitely for administrative, legal, or security purposes.
Scheduling data is retained indefinitely as part of our business record keeping.
If you do not become a coaching client, any personal information that you provided during the initial interview with your coach will be deleted within 60 days.
If you are a current coaching client, we will retain your personal information for the duration of the contract.
If you have been a coaching client, but are no longer, your personal data will be archived onto removable media and deleted from our online systems within 60 days of the end of your contract.
At any time, we may choose to purge historical data, personal and scheduling, from our systems and archives. This means we will no longer have a copy of that information. You will NOT be notified of any such purge of data.
What rights you have over your data – Coaching Clients
If you have provided personal information while deciding to purchase coaching services, and do not choose to become a coaching client, you may ask to have this data deleted from your coach’s system by sending a message using the contact form on this site. If you do not contact us, your coach will delete your data from their systems within 60 days. The only data we will keep about you is the scheduling information (name, telephone number, email, and date and time of any appointments). This is solely for the purpose of our business record keeping.
If you have been a coaching client, but are no longer, we will remove your data from your coach’s system and put it on removable media within 60 days of the contract end. The only data we will keep about you in our systems is the scheduling information (name, telephone number, email, and date and time of any appointments). At any time, you may ask for a copy of your data and we will provide it to you if we have not already purged the data from our systems and archives. In that case, we will notify you that the data has been purged and is no longer available.
You may ask to have your data modified by contacting your coach during a regular coaching session or by using the contact form on this site.
Where we send your data
If you send us a message through the contact form, we send it to our email server at Bluehost as described above.
If you set up an appointment in our online scheduling tool, that information is sent to our scheduling service, Acuity.

Additional information
How we protect your data
We protect your data by limiting access to the data. Only your coach has access to your personal data and each coach is trained in proper data handling techniques. Scheduling information is accessible by you, your coach, and our system administrators. Access to scheduling information is through accounts at Acuity with strong passwords.
What data breach procedures we have in place
In the case that a data breach is detected with our WordPress database or our scheduling service, we will send an email to every person that we have contact information for in that system notifying them that a data breach has occurred and what information might have been acquired. It is possible in this situation that you will start to get unsolicited emails after a data breach. We always recommend caution when opening email from unknown parties.
